If you have ever found yourself asking "where's our money right now," the Accounting Dashboard is where you get the answer. As an organization admin, you can open it and see your program's overall balance, review active funds, track payouts, check donation balances, and open detailed reports the moment you need to dig deeper.

Because this is sensitive financial information, CUR8 only shows the Accounting Dashboard to users with admin permissions for your organization. To find it, log in to CUR8, open the organization menu (the three lines in the upper left), select your organization name, then choose Accounting, followed by Accounting Dashboard.

Understanding your total balance

Your Total Balance is not one flat number. It is a snapshot of funds still moving through the CUR8 accounting process, and depending on your payout setup it can include up to three categories:

  • Active funds: money tied to open projects, projects inside their 60 day hold period, and your current donation balance
  • Settled funds: for organizations on electronic deposits, funds already batched and waiting to be paid out on your disbursement schedule (daily, weekly, or monthly)
  • Payouts in transit: electronic payouts already on their way to your bank

Seeing the money broken out this way, rather than as one lump sum, makes it much easier to answer a treasurer's or business manager's questions about where things stand. You can read more about setting up your program's finances in the finances section of our foundations guide.

Balance As Of: your reconciliation tool

Balance As Of lets you pick a previous date and see your organization's balance through and including that date, which is especially useful when you're reconciling records or closing your books for the month. Changing the date changes the balance you're viewing, but it does not backdate your reports. Leave no date selected and CUR8 shows you today's balance by default.

Reviewing activity and payouts

The Activity section gives you a toggle between Active Funds and Payouts. Under Active Funds, you'll see projects with open sales, projects still inside their 60 day hold period, and your current donations balance. Select any project name to download that project's Event Account Report, or select Donation to download your detailed donation report.

Switch the toggle to Payouts to see your disbursement history. What that history looks like depends on whether your program receives electronic deposits or hard checks at closing.

At the bottom of the dashboard sits the Project History report: a line by line record of every reconciled disbursement your organization has received. It is not a summary by project or by payout, it's a detailed accounting of each individual reconciled payout, which is exactly what a school bookkeeper, business manager, or treasurer needs when they have to verify how funds were disbursed.

A note about timing

Dashboard totals update once overnight, and CUR8 displays the date and time your accounting information is current through. Individual project reports, on the other hand, update up to the minute. So if you just made a sale and don't see it reflected in your organization totals yet, open the individual project report for the most current numbers.

Pro tip: reconciling with your own records

If you're reconciling CUR8 with your school or organization's accounting records, pair Balance As Of with your payout history. Pick the date you're closing your books, review the balance through that date, then compare it with the funds you've already received. That comparison shows you what's already in the bank, what's still moving through CUR8, and what's on its way.

One more thing worth flagging: if you see a notice asking you to submit a W-9, don't ignore it. CUR8 must have that W-9 on file before payment can be issued, so take care of it well before you expect your first payout.

Once you're comfortable with the dashboard, it's worth connecting it to how you organize your season and projects and how you communicate updates to your team, since your accounting picture ties directly into both.
